Using Linked Database to filter your master database

Use a linked database to showcase different items from the same master database on multiple pages. Each linked view can have its own filters and layout, and new items added will sync automatically, without affecting other pages

Some of you may want to showcase a database while displaying different items on different pages. This is easily achievable by using a linked database in Notion.

A linked database is essentially another view of your master database. It allows you to apply unique filters, sorting, and layouts for each page without changing the original database setup. This means you can highlight only the most relevant items on a specific page while keeping everything organized in one central place.

You can also add new items directly from the linked database, and they will automatically appear in the master database. This ensures all your data stays in sync while giving you flexibility in how it’s presented.

One of the biggest advantages of using linked databases is that filters applied on one page won’t affect other pages. Each linked database can have its own rules, making it ideal for creating tailored views for landing pages, category pages, or internal dashboards, all without duplicating data.

Step 1: Create or Identify Your Master Database

Start with a main (master) database that contains all your items. This will be the single source of truth where all data is stored and managed. If you already have a master database, proceed with Step 2.

Step 2: Go to the Page Where You Want to Display the Items

Navigate to the Notion page where you want to showcase a specific set of items from your database (for example, a category page or landing page).

Step 3: Add a Linked Database

  1. Type /linked in your Notion Page

  2. Select Create linked database

  3. Search for and select your master database

This creates a new view of your database on the page without duplicating the data.

Step 4: Apply Filters and Sorting

Use filters to control which items appear on this page.

  • Filter by category, status, tag, or any property you need

  • Sort items based on priority, date, or custom order

  • Filters and Sorts functions are not supported in Super, you have to create a pre-filtered view.

These filters apply only to this linked database view and will not affect other pages.

Step 5: Customize the Layout

Change the view type (Table, Board, Gallery, List, or Calendar) and adjust visible properties to match the design and purpose of the page.

Step 6: Add New Items (Optional)

You can add new items directly from the linked database. Any item added here will automatically be saved to the master database and appear in other linked views where it matches the filters.

Step 7: Repeat on Other Pages

Create additional linked databases on other pages and apply different filters or layouts. Each page can show a completely different set of items while still pulling from the same master database.
